Terms of Service
These terms govern the use of SyncPoint Notify, provided by SyncPoint Digital Solutions (Pty) Ltd. By creating an account or using the service, the school and its users agree to these terms.

The service
SyncPoint Notify is a platform that lets a school manage learner and guardian contact records and send SMS notices to guardians. We provide the service on a reasonable-efforts basis and may improve, change or maintain it over time.
Accounts & eligibility
Accounts are for schools and their authorised staff. Each school administrator is responsible for approving members, assigning roles, and keeping account credentials secure. You must provide accurate information and are responsible for activity under your account.
Your responsibilities as a school
- You act as the responsible party for the learner and guardian data you load and the messages you send, and you are responsible for identifying the appropriate lawful basis for that processing.
- You will only upload information you are entitled to process, and you will keep it accurate and up to date.
- You will not upload sensitive learner information that the platform does not require (for example ID numbers, medical records, addresses, marks or disciplinary records).
- You will use SMS messaging responsibly and lawfully, respecting opt-outs and honouring guardians' requests.
Acceptable use
You may not use the service to send unlawful, harassing, deceptive or unsolicited bulk messages unrelated to school communication, to attempt to access another school's data, to probe or bypass security, or to disrupt the platform. We may suspend access to protect the platform or its users.
Data protection roles
The processing of personal information is governed by our Privacy Policy and, for schools, our Operator (Data Processing) Agreement. In summary, the school generally acts as responsible party and SyncPoint generally acts as operator processing on the school's documented instructions, except where SyncPoint determines its own purposes (such as securing and running the platform).
SMS delivery
Messages are transmitted via a third-party SMS provider. Delivery depends on mobile networks and recipient details and cannot be guaranteed. Charges may apply based on your plan and usage.
Availability & changes
We aim for reliable availability but do not guarantee uninterrupted service. We may modify features, and will give reasonable notice of material changes to these terms, which will be reflected here with an updated date.
Liability
To the extent permitted by law, the service is provided "as is" and we are not liable for indirect or consequential losses. Nothing in these terms limits liability that cannot be limited by law.
Fees, billing & refunds
SyncPoint Notify is a month-to-month subscription priced by active learner count. Text messages are charged separately at R0.35 per billable SMS part; the exact part count and cost are shown before you confirm any send. Messages you sent before the rate changed to R0.35 remain charged at the rate that applied at the time (R0.40 per billable SMS part), and your history shows the rate each send was charged at. Parent replies you send from the inbox are billed the same way as any other message; incoming replies from parents are not charged to your organisation. SyncPoint Notify does not currently operate a prepaid credit wallet. If prepaid credits are introduced, one credit will equal one billable SMS part at the rate then in force. All prices are stated in South African Rand (ZAR). Any applicable taxes will be shown before payment.
Subscription fees are charged in advance and are generally non-refundable once a billing period has started. SMS parts already submitted to the SMS provider or mobile network are payable. A voluntary 14-day guarantee applies to an organisation’s first platform subscription payment. Full details are in the Refund Policy, which forms part of these terms.
Termination & cancellation
A school may cancel at any time. The primary way to cancel is through the in-app Support feature: sign in, open Support and select “Cancel subscription”. Only an organisation administrator may submit a cancellation request. If you cannot access your account, email info@syncpointsolutions.co.za from your organisation’s recognised email address. Cancellations are reviewed and confirmed in writing with an effective date; unless a qualifying refund is approved, access continues until the end of the current paid billing period. For account closure, export and deletion, see the Privacy Policy. We may suspend or terminate accounts that breach these terms.
